We are looking for dynamic, committed and remarkable individuals who are passionate about making TEDxUW 2012 an event that will change the face of the University of Waterloo.

We want people who are ready to make TEDxUW 2012 a success and who are ready to join an amazing team in order to build a vibrant community of change-makers here at our university.

Who can apply?

Applications are opencopy to all university students, faculty, staff, alumni, executives, and members of the co-op employer community.

Availability to work for TEDxUW during the Spring 2012 and Fall 2012 terms (May to December 2012) is required.

When do interviews begin?

Applications for all other positions will be accepted from Monday, March 26 onwards.

Interviews for these roles are ongoing for the month of May

Hiring for General Volunteers will not take place until the end of Spring Term (August 2012). However, please send let us know at any time if you are interested.

Leads

Project Manager, Sponsorships and Finance (1 position)

Responsibilities:

  • Member of the Finance Team
  • Responsible for working directly with Finance Director and the entire executive team at TEDxUW to manage the sponsorship and finance initiatives
  • Assist with flawless execution of fund raising by managing priorities, tasks and account managers
  • Assist with cost control analysis to ensure best allocation of financial resources

Skills/Talents/Experiences:

  • Demonstrated experience in resource allocation, including financial and manpower resources
  • Very strong focus on getting high-quality results under very tight deadlines with minimal direction, guidance and supervision; ability to work under high-stress situations and still get results
  • Ability to manage people and priorities, manage and resolve conflicts under stressful situations

Stage Team Member

Responsibilities:

  • Member of the Production Team
  • Responsible for working with Production Director and Chair to plan out entire stage experience
  • Responsible for channeling event vision and theme into a beautiful design for the TEDxUW event stage on event day; directly responsible for shaping the audience’s experience
  • Assist with flawless execution of vision and stage design by managing volunteers, resources and sponsorships appropriately to get results

Skills/Talents/Experiences:

  • Very strong focus on getting high-quality results under very tight deadlines with minimal direction, guidance and supervision; ability to work under high-stress situations and still get results
  • Ability to manage people and priorities, manage and resolve conflicts under stressful situations
  • Background in interior design and/or relevant prior experience in stage design and management strongly preferred
  • Exceptional creativity, innovation and attention to detail; Ability to combine fresh perspectives and knowledge of TED design concepts in an artistic fashion
  • Ability to create updated templates and blueprints of stage designs using different media as well as provide detailed design plans to build the stage

Video Team + Manager (Production + Editing)

Responsibilities:

  • Members of the Production Team
  • The video team will be expected to have video equipment ready and available at a moments notice to shoot footage as and when needed, and will be exposed to a professional working environment which demands creativity, flexibility and versatility in producing high-quality, beautiful output.
  • Responsible for video-capturing all moments of TEDxUW 2012 right from the start of the planning process: meetings, social gatherings, pre-event promotions, marketing and education promotions; as well as on the day of of the event itself: recording speakers, event ambience and post production work
  • Experience shooting different types of footage under different types of conditions with different types of equipment to assemble different types of footage (Hype-building trailers, Marketing videos, “Making of” videos, “Behind-the-scenes at TEDx” videos
  • Responsible for capturing all aspects of the event day – audience shots, stock footage, speaker videos, environment
  • The TEDxUW experience does not end with the day of the event.  Post-event, it is important that the video team be flexible and efficient enough to work together to quickly assemble high quality videos of the speakers to be posted on the TEDx Youtube account and marketed by the Marketing team. Video editing must occur shortly after the event
  • Additional notes: Videographers must be able to clearly capture TEDxUW in a unique and interesting way while maintaining clear focus and view of all talks. The videos produced must be worthy of the global TEDx platform.This team will be working closely with the Chair and VPs to ensure that they encompass the TEDxUW 2012 vision and show the best of our hard work.

Skills/Talents/Experiences preferred:

  • Experience with a wide variety of camera and video equipment + video editing tools
  • Must have a strong desire for perfection in video quality that is in accordance with TED rules
  • Familiarity/experience producing videos for TEDx events an asset

Photo Team

Responsibilities:

  • Members of the Marketing Team, report directly to Marketing Director
  • The photography team will be expected to have photography equipment ready and available to shoot photos as and when needed, and will be exposed to a professional working environment which demands creativity, flexibility and versatility in producing high-quality, beautiful output.
  • Responsible for capturing all moments of TEDxUW 2012 right from the start of the planning process: meetings, social gatherings, pre-event promotions, marketing and education promotions; as well as on the day of the event
  • Will work extensively with Social Media team and Blogger to select and promote the best photos to capture the excitement of our event
  • Experience shooting many types of photos in various conditions with different themes, feel and look
  • Responsible for capturing all aspects of the event day – audience shots, stock photos, speaker photos, team photos, environment/ambience photos etc. – experience taking and editing different types of photos strongly preferred
  • The TEDxUW stage will be showcased to a world audience through our creative images – its quality sets our event apart from the rest, sets the tone and ambience for our event and ties up directly into our brand and public image, as well as TED cred
  • The TEDxUW experience does not end with the day of the event.  Post-event, it is important that the photo team be flexible and efficient enough to work together to quickly assemble high quality photo montages of the speakers to be posted on the TEDx Youtube account and marketed by the Marketing team

Additional notes: Photographers must be able to clearly capture TEDxUW in a unique and interesting way while maintaining clear focus and view of all talks. The photos taken must be worthy of the global TEDx platform. The team must not only take photos, but edit them as well. Editing must occur as soon as the event is done, finished in a timely manner and must conform to TEDx standards.

Blogger/Content Creator

This year we hope to introduce a blog for TEDxUW 2012, which will provide us with a voice and a channel through which to tell our story.

Blog posts need to be creative, engaging and remarkable and reflect our theme and vision. We are looking for people who can go beyond the standard text blog, and who can create engaging content that’s remarkable – the type that starts conversation and stimulate thoughts.

The blogger will also use the blog to showcase the history and stories of the University of Waterloo.  There are a lot of cautionary tales, stories and myths that make up the University of Waterloo’s character today and we intend to bring them to the attention of our audience.

Responsibilities:

  • Responsible for acting as Community Manager for the TEDxUW blog
  • Working with VPs to design and create the blog
  • Creating engaging and noteworthy content for the blog – UW history, TED, TEDx, TEDxUW + related topics – through diverse and various mediums
  • Responsible for creating and publishing fresh content regularly, with a view to increasing subscriptions and readership so as to establish this as the voice of the TEDxUW community at home and abroad

Skills/Talents/Experiences preferred:

  • Passionate about telling creating great content, writing and telling great stories;  knowledge of UW history a strong asset
  • A self-starter able to work under tight deadlines
  • Prior professional experience in writing, story-telling, editing and/or content promotion an strong asset
  • Proficient personal and/or professional success in creating and promoting online content (blogs, vlogs, Tumblr etc) an asset
  • Familiary/Proficiency with web  design, image editing, video editing, blogging and social media tools a strong asset
  • Background in communications strongly preferred

Web Design/Content Team

Our website is our primary communication channel and provides a strong foundation for our online presence and the event. Our web design and content team will work in close collaboration with our Web Partner.

We want a first class website that reflects a combination of cutting-edge technology here at the University of Waterloo, the TEDxUW theme and the traditional theme of the TED brand.

Our website must function seamlessly and accessibly in order to deliver a beautiful user experience.

Roles to be Filled

Responsibilities:

  • Members of the Marketing Team
  • Responsible for designing, building, managing, updating, troubleshooting and continuously upgrading and improving the TEDxUW website with all the latest desired updates, plugins and innovations to keep us ahead of the curve

Skills/Talents/Experiences preferred:

  • Passionate about design, building  and maintaining great websites; ability to give, solicit, receive, internalize and implement honest, candid feedback strongly preferred
  • Results-orientation and a desire to tackle and resolve big challenges
  • Very strong focus on producing high-quality results under very tight deadlines with minimal direction, guidance and supervision; ability to work under high-stress situations
  • Prior experience in UX, web design, development and maintenance is mandatory; previous experience with designing websites for accessibility purposes a strong asset
  • Proficiency with various design/development/workflow mapping and project management tools is a must
  • Exceptional creativity, innovation and attention to detail; ability to combine fresh perspectives and knowledge of TED design concepts in an artistic, creative fashion strongly preferred

Street Marketing Team

The frontline arm of the Marketing team, the Street Marketing Team is responsible for taking the TEDxUW experience directly to the masses through posters, booths, ad campaigns and other promotional events.

Responsibilities

  • Members of the Marketing team
  • Work with the Marketing Director, VP External and Chair to create and execute street marketing campaigns to promote the TEDxUW experience directly to the public
  • Work with the Marketing Team’s Designers to design posters, booth etc, obtain permissions from all societies and other relevant on-campus authorities to promote posters, banners and events on-campus
  • Set up of campaigns (getting permission, putting up posters etc.) may occur at late hours, the team must be able to accomodate
  • Devise and execute other innovative ways (e.g. Student Life 101, Frosh Week, libraries, residences, SLC, in-class) to promote the TEDxUW experience both on and off campus

Skills/Talents/Experiences preferred:

  • Passionate about design, building  and maintaining hype
  • Ability to work under tight deadlines
  • Prior professional experience in promotional event planning and marketing an asset
  • Exceptional creativity, innovation and attention to detail; ability to combine fresh perspectives and knowledge of TED design concepts in an artistic, creative fashion strongly preferred

Copy Writer

Responsibilities:

  • Member of the Marketing team
  • Writing text and copy for the website, sponsor packages, compiling transcripts and scripts, and any other writing duties as required

Skills/Talents/Experiences preferred:

  • Passionate about writing – business writing, marketing writing, promotional copy, transcripts, scripts, technical writing and any other type of writing – and eager to expand experience and skill set with different types of writing
  • Prior professional and/or personal experience in the above categories strongly preferred
  • Creative writing skills and extensive vocabulary

Social Media Community Managers

As the public-facing voices of TEDxUW, our social media channels will be instrumental in shaping the public’s opinion and building hype.  This means that the team members managing our social media channels must have experience managing and building SM channels into successful communication conduits.

Responsibilities:

  • Members of the Marketing team
  • Work with Marketing Director, VP External and Chair to build and execute marketing campaigns via SM to build hype, support and promote top-level outreach/communications efforts
  • Constantly strive to creatively use SM to build awareness of the event, generate hype, build an engaged, cross-SM-platform build, nurture and develop conversations, engagements and relationships with the members of each online community
  • Use SM to build and expand our support network; support top-level efforts to outreach and engage sponsors, community-members, speakers and potential attendees
  • Leverage SM as an info-gathering source – must have self-direction and drive to expand connections and connect with key influencers online to spread the word about our event

Skills/Talents/Experiences preferred:

  • Passionate about social media and social media marketing and communications
  • Communications specialists and community managers who take pride in their work and view it as a reflection of themselves; ability to solicit, receive, internalize and implement honest, candid feedback strongly preferred
  • Results-orientation and a desire to tackle and resolve big challenges
  • Ability to work under tight deadlines especially during campaigns
  • Exceptional experience in social media marketing and management and PR a strong asset
  • Proficiency with Facebook, Twitter, Linkedin and other SM channels a must
  • Background and/or relevant prior experience in event promotions strongly preferred

Attendee Systems Team (5-6)

One of the most important components of TEDxUW are the attendees. Managing attendee applications, registration, payment and relationships is a hefty task and requires a team that works seamlessly  and is incredibly organized.

Responsibilities:

  • Member of the Attendee Relations Team
  • Responsible for working with external stakeholders to build and manage an organized system to track attendee applications, registrations and most importantly, payments
  • Building, maintaining and updating a database of attendees and other information
  • Responsible for proactively monitoring the system to address all and any problems that may arise; being ready to address, troubleshoot and resolve all issues and complaints with the attendee system or interactions with attendees and other stakeholders

Skills/Talents/Experiences preferred:

  • Prior experience in attendee registration and management within an event context an asset
  • Solid problem-solving skills and creativity
  • Detail oriented to help build a system to effectively track attendees
